WhatsApp screening, done in a few taps.

We made WhatsApp candidate screening even easier to finish. Candidates now answer with one tap or a voice note. They get a reminder when they go quiet and can pick the chat back up a day later.

Every recruiter knows that chats usually die at question three. The candidate starts typing, gets interrupted by another notification and screening stops. That’s fixed now.

What changed

The name gives it away: Ringtime started with phone calls and most people still know us as the voice AI team. Did you know the same conversation has run on WhatsApp for a while? We offer it next to the phone and in 22 languages. This update is about the part that matters most: more candidates get to the last question.

Tap and done
Some questions only need a yes or a no. Do you have a driving licence? Tap Yes, next question. Short questions now come with buttons, so a candidate on a break gets through them in seconds.

Talk instead of type
After a long shift, nobody feels like typing. So candidates can just send a voice note. Ringtime listens and answers, like with any other message.

"When I saw my daughters sending voice notes, holding the phone flat in front of them, I knew we had to make this possible in Ringtime."

A nudge when the chat goes quiet
A shift starts, dinner needs cooking, the chat goes silent. Ringtime sends a reminder at the moment you choose.

Answer when it suits you
We all know how it goes. You see the message, but you don't feel like answering right now. A day later, you do: "Sorry, crazy week. Still interested!" Candidates can now pick up the conversation whenever they want, and Ringtime picks it up with them.
Every message and every answer shows up in the Interactions log, next to the calls.

"We already do WhatsApp"

We hear it from a lot of prospects. And yes, you send WhatsApp messages. But most WhatsApp bots run on a fixed tree: question one, question two, a predefined script. When a candidate asks something the script did not plan for, like "Is that day or night shifts?", the chat stalls or the bot repeats its question.

Ringtime holds a real conversation. A candidate can ask their own question halfway through and Ringtime answers it before it moves on. A candidate who answers an earlier question late still has that answer filed in the right place.

Why we built it this way

Think of the last time an unknown number called while you were busy. You let it ring. The message that comes in through text or WhatsApp is the one you answer.

Your candidates work the same way. We believe the candidate gets to choose the channel and the moment. Our job is to be there when they answer.

So WhatsApp and phone screening work side by side, with the same questions and one result. One customer puts the quick yes-or-no questions on WhatsApp, like a driving licence or a language. The call is for the bigger questions about shifts and experience.

And the message comes from you. Someone who applied at your agency or company sees your name pop up in their chats, so they open it.

‍

Candidates answer when their shift lets them. Your screening should still be there when they do.

FAQ

Can Ringtime screen candidates on WhatsApp?
Yes. Ringtime runs the full screening conversation on WhatsApp, next to phone screening. It asks the questions for the role in the candidate's own language and writes the result to the candidate record. The messages go out from your own WhatsApp Business account.

Can candidates answer with a button instead of typing?
Yes. Yes-or-no questions and short choice questions come with reply buttons, up to three per question. The candidate taps an answer. Open questions stay open and the candidate types or sends a voice note.

Can candidates reply with a voice note?
Yes. Ringtime transcribes an inbound WhatsApp voice note and answers it like any typed reply. The audio is discarded after transcription. Ringtime does no voice biometrics or emotion analysis.

What happens after Meta's 24-hour window closes?
Meta lets a business write freely for 24 hours after the candidate's last message. After that, the business needs a pre-approved template to restart the chat. With Ringtime, a candidate who comes back after the window has closed can still pick the conversation back up.

Do we need our own WhatsApp number?
Yes. You connect your own WhatsApp Business account through Meta's official platform, so candidates see messages from your company. Meta handles the approval step, so plan a few days for it.
